Job Title
Operations Supervisor - Production, Warehouse and Dispatch
Report To:
Branch Manager
Purpose:
Manage daily operations of the departments under supervision by maintaining standard operating procedures to ensure smooth & efficient running of the departments.
Duties and Responsibilities:
- Implementing all standard operating procedures adopted by the company
- Planning and dispatching of completed orders to customers
- Receiving of stock from suppliers and other branches
- Ensure all paperwork is correctly completed when receiving and dispatching stock
- Confirming and verification of full boards dispatched- checking if physical boards dispatched is the same as the picking slip request
- Ensure all paperwork is correctly completed when dispatching stock to customers and other departments
- Maintain picking slips and file management
- Do stock counts as required (quarterly and at financial year end)
- Check stock levels in operating warehouse and ensure replenishment - Ensure that Stock Control Sheets are updated correctly
- Do daily cycle counts and check variances
- Action the transfer of stock from bulk warehouses to selling warehouses
- Planning overtime as required by the business
- Resolution of customer queries
- Ensure cleanliness, hygiene and housekeeping of the warehouse area, both inside and outside
- Management of staff requirements including logging of overtime and incentives
- Ensure staff comply with health and safety regulations and enforce use of PPE.
- Assisting in Production Department as requested by the Branch Manager
- SMS Portal - Notify customers when orders are ready for collection
- Management of staff requirements including logging of overtime and incentives
- Resolution of customer queries on orders
- Confirming and verification of full boards received- checking if physical boards received is the same as the picking slip request
- Ensure that output targets and requirements are met consistently
- Quality assurance on output received from each machine
- Maintenance checks on each machine type as per guidelines provided
- Ensuring machines and area around them are cleaned before lunch and COB
- To trouble shoot and provide first line support against guidance from PBC Technical team when machinery goes down
- Maintain production schedule at least 2 days in advance
- Regular updates of production schedule with status updates minimum 4 times a day
- Daily reporting – production output figures to be captured on the Branch Daily Production Tracker
- Updating and maintaining online production tracking system
- Plan staff shifts and staff rotation
- Planning overtime as required by the business
- Management of blades and consumables in the production department
- Management of storage areas, trolleys and general house keeping
- Maintaining a lead time of 2-3 days on orders
- Assisting in the Boards Warehouse as directed by the Branch Manager
Skills, Knowledge and Abilities:
- Min 24 months experience in a supervisor or leadership position
- Computer literate
- Grade 12 Qualification or equivalent
- Good physical health.
- Own transport

- Computer Literate in google apps, and MS office (excel, word)
- Ability to motivate staff and create a positive environment
- Experience in the woodworking industry
- Experience in a supervisor or management position
- Management of people - min 15 people
- Experience on an ERP system, preferably SAGE Evolution
- Experience in implementing operational processes
- Excellent leadership and decision-making skills
- Great communication and interpersonal skills
Education and Qualification:
- Grade 12 Qualification or equivalent
- Related tertiary qualifications
Mandatory Requirements:
- Min 24 months experience in a supervisor or leadership position
- Computer literate
- Grade 12 Qualification or equivalent
- Good physical health.
